Short answer: Most eClinicalWorks optimization projects run 2 to 4 weeks, depending on scope. Mapping your current workflows usually takes days. Quick configuration wins can be delivered early, and deeper template or interface rebuilds take longer.
What drives the timeline
| Scope item | What makes it faster or slower |
|---|---|
| Number of providers and specialties | More specialties means more templates to review |
| Templates and documentation | A few fixes are quick; rebuilding templates per specialty takes longer |
| Interfaces (labs, radiology) | Depends on how many are connected and how cleanly they run today |
| Billing setup | Eligibility checks, claim edit rules and denial reports each need testing |
| Training | By role: front desk, clinical staff, providers, billing |
| How fast your team can review and approve changes | Often the biggest factor |
A typical sequence
- Review. Map how the front desk, clinical staff, providers and billing actually use eCW today.
- Prioritize. Pick the changes that remove the most friction first.
- Configure. Quick wins first, then deeper template or interface work.
- Train and hand off. Show each role what changed and who owns it going forward.
What to ask for in writing
- A list of what is in scope, and what is not.
- Dates for review, configuration, testing and training.
- A named person on your side who approves changes.
- How results will be checked, for example fewer denied claims or less time per chart. Ask for the measures before the work starts, and avoid anyone who promises a specific number up front.
Frequently asked questions
Is optimization the same as implementation?
No. Implementation is getting a practice live on eCW. Optimization is improving how an already-live practice uses it. If you are still planning a go-live, see our eClinicalWorks go-live checklist.
Will optimization interrupt patient care?
It should not. Changes are planned around clinic hours and tested before they reach providers.
Do we need new software?
No. The work happens inside your existing eClinicalWorks setup.
Who does the work?
H&A Healthcare Consulting works only inside eClinicalWorks, from Spring, Texas, for practices nationwide. We are an independent team, not an official eClinicalWorks partner.
